TEMPLATE 02

Acceptable Use Policy

Example organisation: Ethicality Certification Authority

Effective: June 2026 · Approved by: Board of Directors

1. Permitted Uses

Employees may use approved AI tools (listed in the AI Register) for:

  • Drafting internal communications
  • Summarising documents and meeting notes
  • Research assistance and background reading

2. Disclosure Requirements

When AI has contributed to a document, communication, or recommendation shared with a client or external party, this must be noted. Example disclosure: "This document was drafted with AI assistance and reviewed by [Name]."

3. Prohibited Uses

Employees may not use AI to:

  • Make or communicate a certification decision
  • Generate assessments of an organisation without human review
  • Produce public statements without editorial sign-off

4. Responsibility

The human who sends, publishes, or acts on an AI output is responsible for its accuracy and appropriateness. AI tools do not transfer responsibility.

Human-in-the-Loop Policy

The following decisions require human review before action is taken, regardless of AI input:

AI outputs in these areas are treated as drafts only. No AI output is acted on in these categories without a named human signing off.

Client Disclosure Statement

Example: standard footer for Ethicality client communications

Ethicality uses AI tools to assist with internal drafting and note-taking. All assessments, decisions, and external communications are reviewed and approved by a human team member before being shared. AI tools are not used to make or influence certification decisions.
